PRIVACY POLICY PURSUANT TO EU REGULATION 2016/679 (GDPR)

The purpose of this Privacy Policy is to inform the user about the methods used to process their personal data, in compliance with EU Regulation 2016/679 (General Data Protection Regulation, “GDPR”) and current national legislation.

1. DATA CONTROLLER

The Data Controller is the Rotary e-club agape universale, represented by its pro tempore President and legal representative.

2. TYPES OF DATA PROCESSED AND PURPOSES

The website processes personal data collected exclusively for carrying out the institutional and associative activities of the Club, and specifically:

  • Navigation data: The computer systems responsible for operating this website acquire, during their normal operation, some personal data whose transmission is implicit in the use of Internet communication protocols (e.g., IP addresses). This data is used for the sole purpose of obtaining anonymous statistical information on website usage and checking its correct functioning.

  • Contact form / Email requests: The optional and voluntary sending of messages through the forms on the website or to the listed email addresses entails the acquisition of the sender’s first name, last name, and email address, which are necessary to respond to requests.

  • Restricted Area (Club Members): For access to the Restricted Area dedicated to Members, personal identification data (first name, last name, email, login credentials) is processed exclusively for the management of the membership relationship, the organization of meetings, Club activities, and internal communications.

3. LEGAL BASIS FOR PROCESSING

The Club processes personal data lawfully where:

  • The processing is necessary for the performance of a contract to which the data subject is a party or for the execution of pre-contractual measures (e.g., contact request or management of participation in Club activities).

  • The processing is necessary to comply with a legal obligation to which the Data Controller is subject.

  • The data subject has given consent to the processing (e.g., via the cookie banner for third-party cookies).

4. PROCESSING METHODS AND RETENTION

Data processing is carried out using computer and telecommunication tools, with logic strictly related to the purposes themselves and, in any case, in a manner that ensures the security and confidentiality of the data. Personal data will be kept for the time strictly necessary to achieve the purposes for which it was collected and, in any case, no longer than the periods established by law for the retention of membership and financial documents.

5. DATA COMMUNICATION AND DISCLOSURE

The data collected will not be disclosed, sold, or exchanged with third parties without the explicit consent of the data subject, except for communications necessary to entities connected to the Rotary International network for purposes strictly related to institutional membership management.

6. RIGHTS OF THE DATA SUBJECTS

At any time, users and members of the Club may exercise, pursuant to Articles 15-22 of the GDPR, the right to:

  1. Request confirmation as to whether or not personal data concerning them exists.

  2. Obtain information regarding the purposes of processing, the categories of personal data, the recipients or categories of recipients to whom the personal data has been or will be disclosed.

  3. Obtain the rectification or erasure of data (right to be forgotten).

  4. Obtain restriction of processing or object to the processing itself.

  5. Lodge a complaint with a supervisory authority (Garante per la Protezione dei Dati Personali).
